Deleted a cloud file? Start with these checks

Look in your provider’s trash first — most keep deleted files for about 30 days — then on every device that synced the file, then in the provider’s next route. Don’t empty a bin or resync until you have checked.

Before you click restore. If the file mattered, copy whatever you find somewhere separate first. On iCloud, changing iCloud Drive while Data Recovery runs can interrupt it (C17).

Your provider

Look in: Trash

Files remain in Trash for 30 days, then they are deleted forever (C01). Sort Trash by “Trashed date” (C02).

Uses the choice above. Where a period depends on your plan or admin, the page says so.

Possible places, not a guaranteed order. Which ones exist depends on the provider, the account and the date.

Steps

  1. Stop changing thingsDo not empty a bin or resync yet. On iCloud, changes to iCloud Drive during data recovery can interrupt it (C17).
  2. Confirm the accountCheck which account you are signed in to — personal or work, and whose file it was.
  3. Open the trash for your providerGoogle Drive: drive.google.com → Trash, then sort by “Trashed date” (C02). iCloud: Files → Recently Deleted (C15). OneDrive: onedrive.com → Recycle bin (C10).
  4. Check every synced deviceA Mac Trash or a PC Recycle Bin may still hold a copy (C15).
  5. Use the provider’s next routeiCloud.com → iCloud Drive → Data Recovery if it is not in Recently Deleted (C16); for a Workspace account, ask your admin, who has 25 days after the trash is emptied (C06).
  6. Restore, then check the file opensRestored iCloud files return to their original location (Files app). Open it before you delete anything else.

Codes like (C01) point to the quote in our fact journal. Google Photos backed-up items, OneDrive’s second-stage bin and Dropbox’s deleted-file window per plan are not in our check yet — the provider’s own page for your plan decides.

If it was a shared file

Files shared with you belong to their owner. If you can’t find one, the owner may have changed your permissions (C04); only the owner sees the activity that might locate it (C03). Ask them to check your access or their trash (C05).

Limits: when nothing is left

  • Permanently deleted. Google Photos says permanently deleted items can’t be restored (C09); the Files app deletes from Recently Deleted immediately (C18).
  • Past the window. After the provider’s period the copy is gone from that place; a Workspace admin has 25 days after the trash is emptied (C06).
  • Changed, not deleted. That is version history, not the trash — Drive may drop versions after 30 days or 100 newer versions (C07).
  • No backup. If no device or backup held a copy, a paid service has nothing to recover from.

Questions

Is my file gone if it isn’t in the trash?

Not always. A synced device, iCloud Data Recovery, a Workspace admin or the file’s owner may still have a copy.

How long does Google Drive keep deleted files?

Google Drive Help says files remain in Trash for 30 days, then they’re deleted forever.

Does OneDrive keep deleted files longer for work accounts?

Microsoft says personal accounts can restore files deleted within 30 days, work or school accounts within 93 days, unless the administrator changed it.

I emptied Recently Deleted on my iPhone. Can I get it back?

Apple says files deleted from Recently Deleted are deleted immediately. Check iCloud.com Data Recovery and other devices, but there may be no copy left.

Someone deleted a file they shared with me.

Only the owner can restore it from their own trash. Google suggests contacting the owner to check your permissions.

Can a recovery service get back a permanently deleted cloud file?

If no copy remains with the provider, on your devices or in a backup, there is nothing to restore from. Be wary of any offer that promises a certain result.

Does restoring a file restore my account?

No. Account access and file recovery are separate jobs; sign-in comes first.
