Files missing after cloud sync? Check copies before resyncing

A file that vanished after a sync is often not deleted: the folder may be unsynced on this computer, the file may sit in another account, or it was moved. Pause sync, look on the provider’s website with the right account, then check the trash.

Pause before you change anything. Sync copies your next action to every device. In OneDrive, deleting an online-only file on one device deletes it in OneDrive on all devices and online (SV01); in Google Drive for desktop, trash on a mirrored or streamed computer is trash everywhere (SV28). Pause first: OneDrive offers 2, 8 or 24 hours (SV07).

Your sync app

Look in: onedrive.com, then Choose folders

Unchecking a folder removes it from this computer but keeps it online (SV05); online-only does not delete a file (SV02). If it was deleted, the web recycle bin keeps personal files 30 days (C10).

Possible places, not a fixed order. A file can be in more than one — or in none, if it never finished uploading.

Steps

  1. Pause sync on the computer that changedOneDrive: right-click (or Ctrl-click on a Mac) the OneDrive icon → choose 2, 8 or 24 hours, and check that the OneDrive cloud icon shows Paused (SV77, SV07, SV86). Google Drive for desktop can also be paused and resumed at any time (SV73). Do not delete, move or disconnect anything yet.
  2. Open the website with the right accountSign in at onedrive.com, drive.google.com, dropbox.com or iCloud.com. Microsoft says your files might be safely in another OneDrive if you are signed in to the wrong account (SV08); Drive for desktop can hold up to 4 accounts at once (SV25). Dropbox suggests checking dropbox.com in case the files never synced from the device (SV44).
  3. Check whether the folder is only unsynced hereOneDrive: OneDrive icon → Help and Settings → Settings → Account tab → Choose folders (SV76) — an unchecked folder is still online (SV05). Dropbox: account menu → Preferences → Sync → Selective Sync → Modify (SV75); an unchecked folder stays on dropbox.com (SV41).
  4. Look for a move or renameA missing file isn’t necessarily a deleted file (SV49). Dropbox lists moves, renames and deletions at dropbox.com/events (SV48). Google Drive: drive.google.com → My Drive → Info shows recent activity (SV74). OneDrive removes files you move outside the OneDrive folder (SV04).
  5. Open the sync app’s holding foldersGoogle Drive for desktop copies unsynced files to Lost and Found, opened from the notification link (SV26). On a Mac with iCloud Drive, check Finder → Macintosh HD → Users → your user name → iCloud Drive (Archive) (SV70).
  6. Only then check the trashFiles deleted in the cloud, including online-only files, are not in your computer’s Recycle Bin or Trash (SV13): use onedrive.com → Recycle bin (SV16), dropbox.com → Deleted files (SV50) or icloud.com/recovery → Restore Files (SV69).
  7. Restore one copy, wait, then resumeRestore what you need, let every device finish syncing before making more changes (SV58), then resume sync and confirm the file opens on each device.

Codes like (SV05) point to the quote in our fact journal for this cluster; (C10) codes point to the main journal. Sync settings are unique to each computer and each account (SV06, SV42), so the same folder can look different on two machines.

If it is there on one device but not another

That usually means a sync setting, not a deletion. OneDrive and Dropbox keep folder choices per computer (SV06, SV42), so a folder unchecked on a laptop can still be on the desktop and online. In Google Drive for desktop, when a local file differs from the cloud copy, the app keeps both rather than overwriting one (SV23) — look for a duplicate with a similar name. With iCloud Drive, files sync each time the device connects to the internet (SV68), so an offline device can simply be behind. If the copy you need is only on one device, copy it to a separate drive or folder outside the synced folder before you change any settings.

Limits: when nothing is left

  • It never uploaded. If the file was saved outside OneDrive or the device had not yet synced it, the only copy was on that device (SV09) — search it with File Explorer or Finder.
  • The holding folder was cleared. Drive for desktop says Lost and Found files are lost if you disconnect the account (SV27), and a disconnected streaming account loses its offline files (SV24).
  • It was moved, not deleted. Moving a file out of the synced folder is not a deletion: OneDrive downloads it to the new folder and removes it from OneDrive (SV04) — search the computer, not the trash. How long each trash keeps deleted files is on our recovery-limits page.
  • The account was closed for inactivity. A sync app can’t bring back an account that no longer exists: Microsoft says personal accounts inactive for 2 years may have been deleted (SV10), and nothing will sync back down from it.
  • The deletion reached every device. A delete on one synced device applies on all of them (SV66, SV28), so only the cloud trash still holds the file: iCloud removes it from Recently Deleted after 30 days (SV88), and OneDrive can’t restore it once it is permanently deleted from the recycle bin (SV14). Other windows are on our recovery-limits page.

Questions

Did unsyncing a folder delete my files?

No for OneDrive and Dropbox: unchecking a folder removes it from that computer, but it stays online — on OneDrive and on dropbox.com.

My OneDrive files show a cloud icon. Are they gone?

No. Microsoft says changing a file to online-only does not delete it from OneDrive (SV02), and that when you’re connected to the internet you can use these files like every other file on your device (SV85).

Why did a file I deleted on my laptop disappear from my phone too?

That is how sync works. Deleting an online-only OneDrive file, trashing a file in Google Drive for desktop, or deleting in iCloud Drive applies on every device. Check the cloud trash.

I turned off iCloud Desktop & Documents and my Desktop is empty.

Apple says the files stay in iCloud Drive and new local Desktop and Documents folders are created. Look in iCloud Drive in Finder.

What is the Lost and Found folder in Google Drive for desktop?

It is where Drive for desktop copies files it could not upload. Move them back into My Drive or another folder, and do it before you disconnect the account.

Should I reinstall or reset the sync app?

Not before you copy anything that exists only on that computer. Disconnecting Drive for desktop removes offline files and Lost and Found files.

Someone I share a folder with moved my files. Can I see where?

In Dropbox, dropbox.com/events lists moves, renames and deletions in your account. In Google Drive, My Drive → Info shows recent activity on your files.

Can support staff look inside my OneDrive for me?

No. Microsoft says its support agents are not allowed to access your files; the steps on this page are the routes available.
