Restore an earlier version of a cloud file

If a file was saved over rather than deleted, look in version history, not the trash. Each place keeps its own history for a different time — OneDrive 30 days, Google Drive may drop versions after 30 days, Dropbox 30 to 365 days by plan. Save the current copy before you restore.

Keep the version you have now. Restoring replaces the current file: in OneDrive the version you pick becomes current (SV19), in Dropbox the older version replaces the file under the same name (SV60). Make a copy of an earlier version first where you can — Google Docs offers Make a copy (SV36), Mac apps Restore a Copy (SV65).

Where the file lives

Look in: Last edit (top right) → version history

Browsing earlier versions needs edit permission (SV34). How long these versions are kept — the official help does not describe this. Deleting version history is permanent (SV40).

Uses the choice above. Where a period depends on your plan or admin, the page says so.

Steps

  1. Save the current copy and note the timeDownload or duplicate the file as it is now, and write down roughly when the wrong change was saved. Compare that date with the window for your service in the helper above.
  2. Google Docs, Sheets or SlidesOpen the file → Last edit (top right) → pick an earlier version in the right panel → Restore this version (SV78, SV35). To keep both, use More → Make a copy next to that version (SV36). In Sheets, restoring clears the cell-by-cell history before the restore (SV39).
  3. Other files in Google Drivedrive.google.com → select the file → More → Manage versions (SV31) → next to the version, More → Download, or Keep forever so it is not removed after 30 days or 100 newer versions (SV32, C07); a checkmark confirms the version won’t be deleted (SV84).
  4. OneDriveonedrive.com → right-click the file → Version history → … next to the version → Restore. One file at a time (SV17). With the sync app on a PC, File Explorer → right-click the file → Version history works the same way (SV83).
  5. Dropboxdropbox.com → hover over the file → … → Activity → Version history → preview a version → Roll back to this version, then confirm (SV59). The restored file keeps its name (SV60).
  6. Mac apps that save versionsOpen the document → File → Revert To → Browse All Versions, pick a version on the timeline, then Restore — or hold Option and click Restore a Copy (SV64, SV65). Versions are saved every hour or more often while you work (SV63).
  7. Open the restored file and compareCheck the content before you delete the copy from step 1. If the wrong version came back, the previous one is still in the list — OneDrive keeps the old current version as the previous version (SV19).

Codes like (SV31) point to the quote in our fact journal for this cluster; (C07) codes point to the main journal. Google says version history for Docs, Sheets and Slides works differently from history for PDFs, images and other files in Drive (C08). For files in iCloud Drive itself, a version history on iCloud.com — the official help does not describe this; use the app’s own versions or a backup (SV71).

If many files changed at once

Restoring versions one by one is slow when a whole folder was overwritten. Microsoft 365 subscribers can use Restore your OneDrive to undo all actions on files and folders within the last 30 days (C12). Dropbox Rewind returns a folder or the whole account to an earlier point — folder → Folder settings → Rewind this folder (SV57) — on Plus, Family, Professional, Essentials, Standard, Advanced, Business, Business Plus or Enterprise (SV55), and only within your version history (SV56). If the changes look like someone else in your account, secure your sign-in first, then restore.

Limits: when nothing is left

  • Older than the history. Google Drive may drop versions after 30 days or 100 newer versions (C07); OneDrive keeps 30 days (C13); Dropbox 30, 180 or 365 days by plan (C20–C22).
  • No edit permission. Google Docs needs edit access to browse earlier versions (SV34) — ask the file’s owner to restore or share a copy.
  • History deleted. Google says deleting version history is permanent and cannot be undone (SV40).
  • Versioning was off. On a OneDrive work or school account the administrator may have turned document versioning off (SV18).
  • Sheets cell history. Restoring a spreadsheet version clears the cell-by-cell history before the restore (SV39); make a copy instead if you need it.

Questions

Is an overwritten file in the trash?

No. Saving over a file changes it; the trash holds deleted files. Use the version history of the service or the app.

How far back can I go in OneDrive?

Microsoft says file version history is retained for 30 days. On a work or school account, versioning may be turned off by the administrator.

Why can’t I see version history in a Google Doc someone shared with me?

Google says you need permission to edit the file to browse earlier versions. Ask the owner for edit access or for a copy.

Will restoring an old version delete the current one?

In OneDrive the current version moves down the list as the previous version. In Dropbox the older version replaces the file. Save a copy first to be safe.

How do I stop Google Drive from removing an old version of a PDF?

In Manage versions, choose More → Keep forever next to the version. A checkmark confirms it won’t be deleted.

Does Dropbox keep versions longer on paid plans?

Yes: 30 days on Basic, Plus and Family, 180 days on Professional, Essentials, Business and Standard, 365 days on Business Plus, Advanced and Enterprise.

Can I restore an earlier version of a file in iCloud Drive?

Apple’s pages we read describe recovering deleted files, not versions. Mac apps that save versions offer File → Revert To; a Time Machine backup may also hold one.
